Good Neighbors International in Tajikistan (GNIT) has been working in Tajikistan since 1998. The objective of GNIT is to improve the lives of people, especially children through education, community as well as emergency relief projects. GNIT is working with the key stakeholders such as Ministry of Education, Ministry of Health, Ministry of Labor and migration, Committee of Women Affairs, Local authorities, INGOs UN and donor agencies such as, EU, GIZ, UNICEF, WFP, and others in an integrated approach to connect poor and vulnerable communities to quality education, health, water and sanitation services.
Good Neighbors International in Tajikistan now searches for an experienced Executive Assistant who will manage and support daily needs of Country Director, reception visitors and prepare preparing communications on the executive’s behalf. Priorities are set and controlled by the Country Director. To achieve GNIT’s goals, Executive Assistant must be the connecting link between the Country Director and staff.
Main Responsibilities:
The Executive Assistant will have the following duties and responsibilities:
- Technical Support
- Coordinate the exchange of information between the Country Director and staff, as well as other branch offices (messaging, phone calls, email and etc.);
- Ensure timely delivery of any information through telephone calls, messaging, email and other;
- Assist in preparation of various documents and materials for Country Director, keep the track and file them;
- Provide the necessary assistance in organizing presentations, external and internal meetings and other events held by GNIT, including scheduling, sending reminders, and organizing catering when necessary;
- Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications with the staff on the executive’s behalf;
- Providing interpretation and translation on the executive’s behalf when necessary;
- Control over the timely execution of Country Director’s instructions by the employees, as well as monitor and evaluate field offices;
- Draw up a weekly schedule together with Country Director and prioritizing the most sensitive matters;
- Organize, take the minutes and hold monthly SMT meetings;
- If necessary, coordinate Country Director’s Business travel, airfare reservation and hotel accommodation as well as for her arriving guests, local partners and etc.
- Communication Support.
- Work with Country Director to develop systems to more efficiently perform administrative tasks;
- Collect the necessary information on the instructions of Country Director;
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department;
- Answering phone calls in a polite and professional manner;
Measurable Outputs and Performance Indicators of position
- All visitors and guests are welcomed, listen to and understood. The effectives are expressed.
- Country Director received full support in any issues.
- All files, records and material maintained comprehensive and accurate.
- Meetings, events and presentations are well planned, scheduled and organized.
Required experience and skills:
- Master degree in Management, Business Administration or other equivalent degree from the recognized international university;
- Fluency in written and spoken in English, Tajik and Russian;
- Strong computer skills – Power Point Presentation, data base, Word, Excel and others is asset;
- Excellent organizational skills;
- Good Report writing skills;
- Good documentation skills;
- Good analytical, problem solving, conflict prevention and resolution skills;
- Initiative, willingness to try new things and dedication to self-improvement;
- Ability to work under pressure and difficult circumstances;
- Ability to manage of funds requests, expense reports and payment processes;
- Excellent ability to multi-task responsibility;
- Excellent interpersonal and organizational skills.
